Simplifying Document Management

With digitalization of content, more organizations are shifting their on-premise Enterprise Content Management (ECM) infrastructure to cloud. Although cloud enables organizations to seamlessly manage their data lifecycle, “Most of ECM software is trying to bring their heavy platforms to cloud environments but those platforms weren’t designed to do that,” begins Jose Luis de la Rosa, CEO, Athento. The company’s hosted document management enables users to deliver comprehensive projects at a lower cost and enhances user experience. It also empowers business executives to approve documents from their mobile devices, allowing people to share content and most of all, providing automation features. “Our premise was that if a human can understand a document and do some work with it, a machine should be able to do it too,” states Luis de la Rosa.

Athento document management platform automates the unstructured or semi-structured information of clients, analyzes the text within those documents and finds hints which enable the software to easily understand its meaning. “Our product engineering process focuses 90 percent on the real users’ needs,” extols de la Rosa. He further explains, “The customers get just one product such as Document Management, Document Capture, Digital Assets Management, Workflows and the basics of Records Management in one subscription.” This allows users to have a flexible product that works with document features to find out what is essential for their business process. Business profiles can also easily define their own document types, workflows, extraction and validation rules for data capture.

The platform comes with Automatic Document Classification feature, which uses several methods to classify documents. For example, it can classify documents by using textual patterns or keywords which works like a charm for legal documents. It also looks for image patterns within documents in order to classify them and has algorithms which analyze the similarity between two different texts. The solution extracts a set of features that define a contract and it compares these features against the new document the next time a new contract is uploaded.

Athento’s REST Application Programming Interface (API) assists customers who have their entire system integrated with Athento. Athento also offers embeddable features, so third-party applications can take advantage of some Athento's features such as searching documents without coding.

In an instance, Athento helped Aktua, a firm providing services and products for debt management, maintenance of real estate assets and marketing to centralize their documents and integrated their ECM platform with their business applications. Besides automating a huge quantity of processes, Aktua also reduced 90 percent of their effort on manual tasks with documents, to 50 percent. The client was also able to reduce infrastructure costs and technical issues regarding business apps integration to 40 percent.

Forging ahead, Athento will release Athento 5, an upgraded version of the present solution, and add the micro services feature to the Athento document management platform. This will enable the system to understand documents from any business apps, in any business processes and automate it. The firm is also working on applying semantics over medical records and documents to identify possible adverse effects for patients. Alongside, Athento is investing on improving document analysis and OCR technologies. “We will continue to provide effective ECM solutions to our client to simplify document management,” concludes Luis de la Rosa.
