A significant problem businesses have faced throughout history is how to keep track of their material. Files, invoices, support material are all critical pieces of information that need to be stored for later access. This posed a substantial logistical concern when files were confined to paper copies. With the advent of instruments to digitize these files, storage concerns changed from how to sort material into large filing cabinets to how to best store the files electronically.

Dan Currie, President of IDS Imaging explains that he created the company after he saw companies struggling to manage the files they could scan in house. “Clients liked the ability to archive office paper documents and import them to either their hard drive in a folder structure, or import into many of the new inexpensive document management systems coming into marketplace 10-15 years ago,” he says. “Customers loved the ability to archive day forward scanning but struggled to deal with large volumes of legacy paper documents.”

When IDS Imaging first started more than 15 years ago, the intent was to help clients with file conversion projects. However, they found that their clients’ needs quickly grew and included how to deal with the legacy documents after they were digitized. “Once our capture software partner expanded its product offering into Electronic Content Management (ECM), it was a logical migration for us to offer this solution to our customers,” Currie says. “This ECM or document management solution can either be a cloud-based hosted solution or can reside on a client’s server utilizing concurrent licenses.”

By partnering with industry leaders such as Digitech and Kodak Alaris, IDS Imaging can address very specific needs for their customers. For example, “We worked with a state government agency that received over 200,000 pieces of returned mail for incorrect mailing address no forwarding address.” By using a solution that involved creating a workflow automation which then enabled the client’s customer service to seek updated mailing information.

“The solution is now realizing this state agency over 250k annual savings in reduced mailing costs,” Currie says.

In addition to government agency clients, IDS Imaging also provides solutions for clients in the financial, legal and education industries. They have also recently begun offering expanded scan-on-demand services with healthcare clients. “Many healthcare providers have multiple offsite storage facilities that they will house patient files for up to 10 years,” he explains. “By coming in semi-annually and scanning their inactive patient charts, we stop them having to move the files to offsite storage.”

A quality that sets IDS imaging apart from their competitors is that they only work with vendors that keep their support within the U.S. “We are seeing a lot of competitors off shoring document indexing and OCR processing, possibly compromising their client’s employees and customers confidently and security,” he says. “On the solution side of IDS, we only partner with vendors that provide domestic call centers and support.”
