Konica Minolta Business Solutions U.S.A.: The Verdict Is In - Deep Industry Understanding Gives Legal Clients the Edge

Konica Minolta has always been a technology leader.

Its history begins almost 150 years ago in Tokyo, when Rokusaburo Sugiura became a pioneer in the photographic industry. The innovation continued over the ensuing centuries, with transformation in optics and electronics. With the 2003 merger of Konica and Minolta, a global leader emerged, expertly positioned to deliver innovative solutions.

Today, Konica Minolta Business Solutions U.S.A., Inc. capitalizes on its technological innovation by delivering targeted expertise to customers through the verticalization of its solutions portfolio, EnvisionIT. For decades, the company has provided a comprehensive and strategic range of customized services including print optimization, software and hardware support, content management, eDiscovery and managed IT services to legal entities across the U.S.

This business model is driven by Rick Taylor, Konica Minolta’s President and Chief Operating Officer. Responsible for the company’s core operations that support all areas of business, Taylor is mindful of the need to maintain a cohesive and productive business strategy. “We have positioned ourselves as a leader in the legal space,” he says. “As a proven integrator, our relationship with each client requires collaboration, planning and precision.”

Award-winning business strategy

By staying aligned to its mission, Konica Minolta has reached the Leaders quadrant of the 2014 Gartner Magic Quadrant for Managed Print Services and Managed Content Services. This is the latest in a long line of accolades. The company was named the #1 Brand for Customer Loyalty by Brand Keys for the past seven consecutive years and Line of the Year for its multifunction products by Buyers Laboratory LLC for an unprecedented four consecutive years.

Awards are bestowed across business divisions. All Covered, Konica Minolta’s IT services division, is included in CRN’s Managed Service Provider Elite 150. It has been one of the MSP mentor 501’s top Managed IT service providers for six consecutive years and the Top 100 Cloud Service Providers for the third consecutive year. All Covered is one of a few entities to appear on both the Top 100 and MSP mentor 501. These numerous accolades are the result of the carefully crafted EnvisionIT solutions portfolio.

“Our EnvisionIT Legal solutions assist law firms with the creation and implementation of workflow solutions and services designed to streamline business processes while driving operational cost performance,” says Sam Errigo, Senior Vice President, Business Intelligence Services.

Part of that efficiency is the development of programs that drive sustainable savings related to print, managed IT services and content management, while mitigating security and compliance issues applicable to hardcopy and digital content. The company embraces an electronic strategy and encourages the use of digital communication because it aligns with customers and the company’s environmental sustainability efforts, Errigo notes.

One of the company’s unique technologies allows software to easily integrate with the bEST (bizhub Extended Solution Technology) architecture. bEST is an integral part of Konica Minolta’s bizhub open platform, an architecture that makes bizhub multifunction printers (MFPs) more accessible to developers. This enables the seamless integration of Konica Minolta products with third-party software applications to support custom solutions.

A Managed Service Provider serves a crucial role by assuming responsibility for an organization’s IT infrastructure, therefore firms require a Legal Solutions Integrator to help them design and manage their applications suite and ecosystem. All Covered implements industry-leading legal document management systems, document comparison software, collaboration tools, metadata scrubbers, digital dictation, table of authorities, imaging & capture, eDiscovery and applications for remote access and email archiving, all supported by its Legal Help Desk.

Konica Minolta has attained ISO 15408 certification at EAL 3, the highest level of security for commercially available products. “Our security functionality includes powerful password protection for documents and devices. We have integrated features such as HID proximity cards, biometric authentication, encryption and hard disk drive overwrite to authenticate the user,” says Errigo.

To handle legal documents more efficiently in both hard copy and electronic form, Konica Minolta’s Optimized Print Services (OPS) suite of software and professional services delivers data-rich recommendations to optimize a law firm’s hardware footprint, improve workflow efficiency and automate device management.

“Our Envision IT Legal solutions assist law firms with the creation and implementation of workflow solutions and services designed to streamline business processes while driving operational cost performance”

Konica Minolta is charting a progressive growth story where clients reap measurable benefits. For instance, one law firm specializing in intellectual property management was unable to leverage desktop printers for increased print volume due to costs and the inability to charge costs back to clients. The firm sought to consolidate the number of third-party vendors used for printing. Konica Minolta deployed OPS to assess and track print usage, allowing the development of a comprehensive plan addressing maintenance, support and supplies. Because everything is tracked online, the firm can accurately bill clients for printing, copying and scanning, can monitor when supplies will be sent and can request support with the click of a mouse.

We have positioned ourselves as a leader in the legal space. As a proven integrator, our relationship with each client requires collaboration, planning and precision

With everything managed and billed under Konica Minolta, the firm saves hundreds of dollars a month in supplies alone.

Dispatcher Phoenix Legal

Konica Minolta has developed Dispatcher Phoenix Legal, a powerful software solution that automates typical time-consuming and labor-intensive manual document-processing tasks. This suite of automated document workflow solutions simplifies the preparation of legal case files for eDistribution while maintaining maximum levels of security to protect attorney-client confidentiality. It provides customized workflows, automatic Bates stamping and PDF/A conversion to streamline processes while protecting sensitive information with advanced redaction. Documents can be distributed to various destinations, including document management systems, legal support systems and MFPs. Dispatcher Phoenix Legal also allows users to split a multi-page TIFF or PDF file into multiple single-page PDF documents for electronic filing to conform to judicial requirements.

“Powered by Workflow Builder, the platform is designed to enable rules-based workflows that can be customized with drag-and-drop simplicity,” says Errigo. “Unique LiveFlo technology gives real-time views of workflows to identify bottlenecks and speed distribution.”

Due to bEST integration of Dispatcher Phoenix Legal with the company’s MFP devices, customized desktop workflows can be created and accessed at the MFP control panel to secure and simplify routing, storage, document conversion and document production.

Security and mobility

All Covered specializes in helping clients overcome security hurdles. The company’s subject matter experts conduct an audit to ascertain abnormalities or potential network security risks and recommend areas of improvement, ensuring that procedures and policies provide the highest degree of security and compliance in accordance with industry best practices and regulations.

Hosted services are growing in demand, aligning with the ever-changing legal landscape and the increased necessity to support mobile legal professionals. All Covered offers a portfolio of mobile solutions ranging from wireless access, mobile print and mobile access to content management. To maintain security while allowing for mobility, All Covered has several solutions for private, public and hybrid cloud services, designed to deliver an affordable and scalable architecture to support law firms, regardless of size.

Competency Curve

At Konica Minolta, customer engagement is more than just a metric. It is core to the company’s value proposition. This is evidenced by Taylor being named "Executive of the Year" eight times by Marketing Research Consultants in an annual survey of more than 275 independent office equipment dealers. Taylor received the honor again this year, for the fourth consecutive time.

He equates the award with the company’s strategic vision. “Our key differentiating factor is the talent that we have within our organization and how we align with our customers,” he says. “We have verticalized approximately 70 percent of our sales organization in the key vertical markets we serve across the U.S. It is imperative that we align with our customers and provide a deep domain understanding of their business across multiple disciplines. The diversity of our products, services and capabilities has changed dramatically over the past 5 years with the inclusion of All Covered and our Enterprise Content Management organization. The expansion into new service growth areas aligns with our transformation strategy to shift to a services-driven organization. We will continue to focus on technology that supports the facilitation of information regardless of the format while continually innovating to maintain our leadership in the market.”

Another part of the innovation strategy is the identification and nurture of new product categories. Konica Minolta has established Business Innovation Centers (BICs) in five major regions around the world, including a North American center in Silicon Valley, to target new and disruptive products across all business sectors. The Foster City, California, BIC will work closely with a diverse range of entities, from research institutions and partner companies, to venture capitalists and start-ups, to add new business and product lines into Konica Minolta’s portfolio. Through the BIC, Konica Minolta will gain a deeper understanding of its customers’ evolving needs, and the industry forces and technologies that are reshaping business.

“The BICs are comprised of highly talented thought leaders and are tasked with challenging and stretching our imagination for new business domains,” says Taylor. “We are not trying to take little steps in the marketplace. We want to be disruptive and dynamic.”

“Our investment in the future is an investment in our clients.”
