Effectively tracking and reporting expenses and purchases are crucial for ensuring the profitability of any business—and just as important are managing the complexities associated with the financial operations processing of large volumes of transaction data across multiple systems. Even in this digital era, financial operations remain burdened with manual processes to track, file, reconcile, and share data that is necessary to support accounting and financial reporting requirements.

Pivot Payables, a software development company, builds applications that automate these processes and increase the value of customer investments in their business systems. An SAP Concur Partner, Pivot also participates in the Microsoft ISV Success Program, offering applications that extend the functionality and interoperability of SAP Concur and Microsoft ERP solutions. At the core of their offerings is PivotNexus, an iPaaS (integration platform-as-aservice), that provides the hub for their applications and data sharing capabilities.

“Our products take burdensome pieces of the workflow within an organization’s financial operations and automate and optimize them,” says Cher Pearsall, CEO and co-founder of Pivot Payables.

In March 2023, SAP Concur launched a new Financial Integration Program. As a testament to the strength of their partnership, Pivot was selected to be the sole launch partner and is providing a PivotNexus integration with Microsoft Dynamics 365 Business Central for both Concur Expense and Concur Invoice. The go-to-market strategy is one of shared responsibilities— specifically, SAP Concur sells, implements, and supports the product, while Pivot provides the underlying technology. There are some constraints within this offering, however more advanced requirements are easily handled directly by the Pivot team.

The PivotNexus integration for Business Central is a fully automated solution for both cloud and on premise. In addition, Pivot supports Microsoft’s other ERP solutions, including Dynamics 365 Finance, Dynamics AX, Dynamics GP, Dynamics NAV, and Dynamics SL. Currently, Pivot is cultivating partnerships with value-added resellers to provide services on a wider scale throughout the Microsoft ecosystem.

The PivotNexus ERP integrations provide bi-directional data flow between the ERP and SAP Concur solutions. Organizations use SAP Concur solutions to track and record expenses and purchases that have been made by their employees.

These are front-end productivity applications that gather transaction details, cost accounting, and managerial approvals. With the ERP as the de facto system-of-record, PivotNexus extracts data such as job numbers, vendors, purchase orders, and PO receipts from the ERP and delivers it to the SAP Concur cloud. This automates the availability of that data in Concur Invoice, for example, where employees can validate and allocate purchases to the correct projects and departments, that all items ordered were properly received, and that the billing is correct. Once approvals are completed in Concur Invoice, PivotNexus extracts the details from the SAP Concur cloud and delivers it to the customer’s ERP as accounts payable transactions, journal entries, or payments, as applicable.

Its newest product, PivotEQ, helps Concur Expense customers automate the accounting associated with company paid credit cards. The manual reconciliation process is brutally time consuming – on average one hour per card each month. PivotEQ automates the reconciliation between the card statement and individual expense reports, reminds cardholders to submit expenses, and creates the Journal Entries required by the ERP.

Flipping to the accounts receivable side, PivotPrime helps recover expenses incurred on behalf of client projects—a critical path to profitability for these businesses. Manual project billing processes suffer from missed expenses, allocation errors, and cash flow impact waiting for recovered dollars. One longstanding SAP Concur customer conducted an audit of the manual process. The results were staggering—they found $1.35M spent but not recouped from their clients. PivotPrime stopped the leaks instantly.

The Pivot applications are built to connect independent systems, and automate and enhance business financial operations. Each product provides greater visibility into critical data and specifically improves the surrounding business workflows, ultimately delivering savings directly to the bottom line.
