Reliable and User-friendly Solution for Document Management

Worldox

Ray Zwiefelhofer, President
Documents are among the most crucial assets of any organization, and for legal and financial services firms, it is their backbone. In the light of the current pandemic, however, the ability to easily find and access the right document is still a challenge in many workplaces. Employees at various offices are still dependent on their coworkers in the office to retrieve and send those documents. And while firms in many cases use windows folder system or SharePoint to try to access and organize shared files on a server, they still lack the document management functionality required to manage, create, and retain essential records for a remotely accessible filing structure. World Software Corporation addresses this very need, with its proprietary document management system, Worldox. The system allows companies to provide their remote workforce with access to information and data from word processing files, spreadsheets, emails, scanned documents.

Leveraging over three decades of experience in the document management space, World Software Corporation delivers a user-friendly, cost-effective, and reliable system, Worldox. The solution today caters primarily to law firms, financial services, and corporate legal departments and enables its clients to enhance their efficiency via proper management of their crucial documents. Worldox can integrate seamlessly with the Microsoft Exchange Server, and allows for rapid delivery in the translation of email into the appropriate material or content. It enables users to create folders, drag, and drop emails into the system that automatically gets pushed to Worldox for categorization. As Ray Zwiefelhofer, President of Worldox puts it, “By automatically saving and organizing the emails according to the heuristic table, Worldox's advanced heuristic program helps attorneys and other workforce in organizing and filing emails in a traditional matter centric method.”

Over the years, Worldox has also integrated with Sharefile, Workshare, and other sharing solutions to offer better collaboration and sharing. In their recent Microsoft Teams integration, Worldox creates folders with a Client and Matter naming convention to make retrieval easy and familiar. This allows attorneys and secretaries to tag documents that they want to share and easily collaborate with their customers in a secure version controlled environment.

The company has continuously evolved with technological and market trends and has a cloud-based solution in addition to on-premises products. Additionally, Worldox understands the importance of document security and information for law firms and therefore integrates with Active Directory, and has a very powerful built in ethical wall module. As more firms move to the Microsoft Azure platform it is working on an Azure Information Protection solution, and other encryption technologies to lock down the content in specific files. The applied labels ensure that no document leaves the firm without being encrypted and locked, making it hacker-proof. In essence, the company has allowed law firm staff to work from home, hassle-free, and without losing a beat. Moreover, the support team is always on their toes to help clients understand the system or the tools.

By automatically saving and arranging the emails as per the heuristic table, the advanced heuristic program of Worldox helps attorneys or workforce that are inexperienced in filing emails do so in an organized and matter centric method

By consistently evolving its products with market trends, Worldox is currently working on a search engine that is expected to be released by 2021. This will further enhance the search results, queries, and the scalability of Worldox. Focusing on the UI/UX interface layer, the company is molding its interface to be similar to the Microsoft Office Suite to provide a feel and look of the products that firms generally use. This will also help new customers that have never had a DMS. Additionally, the company added new features to its products’ next version that would allow users to organize documents more quickly and group information better. The thin transport layer will enable users to access the data set securely from anywhere, anytime, and deliver even greater mobility to work from any location.
