Less time handling paper. Easier access to information. A solution that fits the way you work. Those are the benefits EDAC Systems aims to deliver. For organizations facing growing document volumes, aging equipment or tight budgets, the challenge is rarely just choosing a scanner. It is making the whole process work, from document arrival and capture to where information goes and who needs it. EDAC brings more than 30 years of experience to that task, combining hardware, software and hands-on support to help government and commercial customers turn paper into accessible information. Its hardware solutions range from desktop scanners to high-volume production systems, with software support for intelligent document capture, enterprise content management, records management and case management. Each solution is tailored to the organization’s needs and budget. Start with the Problem A large office and a busy mailroom do not need the same setup. Some customers replace old scanners, while others improve existing systems or build new processes. EDAC first assesses customers’ documents, workloads, budgets and security requirements before designing a solution. “Our goal is to provide a solution that best fits our customers,” says Art Randles, director of integration technology. That flexibility comes from choice. EDAC works with partners, including Ricoh, OPEX and Doxis, along with other hardware and software providers. Its offerings range from desktop scanners to large production systems, with software for document capture, content management, records management and case management. “We are a problem solver,” says Gregory Blevins, marketing and account manager. “Customers come to us because they have documents to scan in the system, but they have little intricacies about their process that we have to take into account.” A document may need an address checked, employee review or routing to multiple destinations. EDAC builds those steps into the solution. Make the Information Easier to Use In a digital mailroom, incoming documents are scanned, identified and processed so information reaches the right people or system. Software reads text and extracts details, with optional human review when verification is needed. The payoff extends beyond clearing paper off a desk. Searchable records are easier to find, and multiple employees can access documents simultaneously. Digitization reduces physical storage costs, while OPEX scanners can eliminate document preparation work and help staff process more pages. AI can identify documents and extract information, but customers need room to adapt. EDAC accounts for this as products and business requirements evolve. Put the Plan to Work EDAC helps plan equipment placement, configure and connect systems, migrate existing systems and prepare staff for the change. Training, testing and validation are part of implementation. For federal customers, security requirements are addressed early. EDAC works with customer teams to confirm that proposed hardware and software meet applicable requirements before installation. One federal agency has worked with EDAC for more than 35 years. Facing potentially millions of documents and pages to scan within three to four months, it needed to manage the workload across roughly two to three dozen field offices. EDAC helped spread the imaging program across those locations, speeding up scanning and allowing the agency to respond to customers sooner. Have Someone to Call Support continues after installation. EDAC takes first-line calls for the hardware and software it sells, addressing issues involving scanners, software, system connections and AI. Trained engineers can also provide on-site assistance. “Having that repeatability, and the sustainability, and the longevity of the company to be able to support those customers time and time again has been the key,” says Joe Cretella, program manager. EDAC also evaluates new offerings with its technology partners before bringing them to customers, ensuring that new options fit existing operations. For potential customers, the value is practical—help choosing the right tools, experience making them work together, and ongoing support from people who know the system. Whether tackling a backlog or rethinking an entire document workflow, EDAC helps turn the problem into a workable solution.

Enhancing Business Accessibility Through Enterprise Document Imaging and Data Capture

Enterprise document imaging and data capture solutions enable organizations to transform unstructured and paper-based information into searchable, organized and usable electronic information. In today's context, hundreds of businesses of all industries are still dealing with the challenge of managing invoices, contracts, applications, forms, records, receipts, correspondence and other documents, which can be more cumbersome to handle efficiently when information is not in a connected system and stored in physical files.

Deep Dive

Identifying Enterprise Document Capture Solutions that Fit the Workflow

Enterprise imaging purchases rarely fail because a scanner cannot create a digital file. Trouble starts when document volumes and legacy applications collide with downstream workflows that were built around older processes. A platform may handle clean, standardized forms well, yet slow down when incoming files vary substantially or demand different routing rules. Executives, therefore, need to examine how completely a proposed environment can absorb the real document mix without forcing extensive manual preparation or creating new bottlenecks elsewhere.

Enterprise Document Imaging and Data Capture Solutions Info

Q1
What Do Enterprise Document Imaging and Data Capture Solutions Include?
Top Enterprise Document Imaging and Data Capture Solutions include the tools and services that help organizations turn paper records and incoming documents into digital files. This category covers document scanners, intelligent capture software, optical character recognition (OCR), data extraction, document classification, and enterprise content management. It also includes records management, workflow automation, and case management features that help organize information after scanning. These systems can handle everything from everyday office paperwork to large-scale document processing, depending on what an organization needs. Their main goal is to make information easier to find, share, check, and move between departments. By linking document capture to business processes, organizations can cut down on manual work and make important records easier to access.
Q2
Which Organization Did CIOReview Recognize for Enterprise Document Imaging and Data Capture Solutions in 2026?
In 2026, CIOReview recognized EDAC Systems as a provider of Top Enterprise Document Imaging and Data Capture Solutions. The recognition places attention on a category that has become important to organizations managing substantial document volumes, established records systems and increasingly digital workflows. Enterprise document imaging involves more than converting physical files into electronic formats. It requires a coordinated approach to capturing information, organizing records and making documents available to the people and applications that need them. The recognition also highlights the role of providers that help organizations connect scanning infrastructure with practical information-management requirements.
Q3
Why Is Demand for Enterprise Document Imaging and Data Capture Solutions Growing?
The need for Top Enterprise Document Imaging and Data Capture Solutions is growing because organizations have to manage more digital and paper records than ever. Government agencies, banks, healthcare providers, and large companies often deal with documents that need to be stored, found, reviewed, and shared quickly. Relying on paper can slow things down, take up space, and make it hard to find information across departments. As organizations work on digital transformation, they are rethinking how documents come into their systems and move through their workflows. Rules, the need for remote access, and the push for better efficiency are also driving adoption. As organizations update old processes, document capture becomes a key part of improving how they manage information.
Q4
What Should Organizations Evaluate When Selecting Document Imaging Systems?
Choosing Top Enterprise Document Imaging and Data Capture Solutions requires an assessment of actual document workloads rather than scanner specifications alone. Organizations should consider document types, daily processing volumes, image quality, recognition accuracy and the amount of manual preparation required. Integration with existing databases, enterprise content management platforms and records repositories is equally important. Security controls, retention requirements and access permissions deserve particular attention when documents contain confidential or regulated information. Decision-makers should also examine implementation costs, equipment maintenance, software compatibility and the availability of technical support. A suitable system should address current operational demands without creating unnecessary complexity or restricting future expansion.
Q5
How Are Automation and Intelligent Capture Changing Document Processing?
Top Enterprise Document Imaging and Data Capture Solutions increasingly incorporate artificial intelligence, automated classification and advanced recognition capabilities. These technologies can identify document types, extract relevant fields and direct information toward appropriate workflows. OCR converts printed text into searchable content, while validation processes help identify information that requires additional review. Intelligent capture can reduce repetitive data entry, but accuracy still depends on document quality, configuration and exception handling. Integration with workflow platforms also allows captured information to move into business applications with fewer manual steps. The most useful systems balance automation with appropriate human oversight, particularly when accuracy, compliance and reliable recordkeeping are essential.
Q6
Why Was EDAC Systems Recognized by CIOReview in 2026?
