Revolutionizing Automated EMR Document Indexing

Healthcare organizations are in the midst of yet another technological evolution. Almost all healthcare procedures are being augmented by robust medical technologies today. However, to complement these innovations, an immaculate healthcare information management (HIM) approach is also deemed quintessential for delivering value-based patient care. Why, one may ask? This is because, despite the use of cutting-edge medical tools and facilities, most healthcare providers still suffer from administrative concerns like ordering duplicate tests, tackling the issues of an unsteady cash flow, increasing manual labor cost, and so on.

Many of these problems stem from one common point: manual, labor-intensive, and inefficient medical document indexing models. While many healthcare organizations are adopting the latest EMRs for streamlining their workflow and dealing with the personnel-shortage challenges during the pandemic, their EMR systems rarely deliver the efficiency they expect, even giving leeway for batches of unfiled documents lingering in the EMR, gaps in data collections, critical labs and procedures not being ordered, and ultimately, lesser than ideal patient care.

How do we solve this? The answer lies in digitizing all the medical data collection touch-points and automating the entire document indexing process as well. It will not only help healthcare organizations in reducing HIM labor costs but also boosting their workflow and improving the patient experience further.

Assisting healthcare organizations in this endeavor is InDxLogic. By offering automated intelligent document indexing software and services, InDxLogic helps healthcare organizations in significantly cutting their HIM operation costs. Notably, the company’s software is designed to automatically identify unstructured documents and convert them into structured data, facilitating the streamlining of all critical workflows in the value-driven healthcare journey.

The Roots of Excellence

The inception of InDxLogic can be traced to its founder and CEO, Michael Ebough. At the time, while working in his previous physician practice, he had installed a new EMR system to make the healthcare documentation process paperless. However, despite its digital capabilities, the EMR system required extensive personnel for HIM processes, not to mention the time and effort to perform the tasks. Also, since many of the processes were manual, errors were quite common, often requiring rework. To overcome this challenge, he tried finding new tools and technologies to better streamline the process, but to no successful end. That was when he decided to build his own solution for automating HIM processes—InDxLogic.

Today, the InDxLogic platform has become the leading HIM platform in the industry, empowering healthcare organizations to automate documenting and indexing.

“Our platform can seamlessly integrate with various EMR platforms, including Epic systems, Allscripts, athenahealth, NextGen Healthcare, and so on,” mentions Michael Pendleton, senior vice president of InDxLogic. So, whenever the physicians need to procure specific information regarding their incoming patient document flow, InDxLogic automatically identifies the patient, document name, date of service, orders, metadata, and routes the required data to the physicians or desired routing workflow In fact, InDxLogic’s software aids in reducing document indexing costs by 60-80 percent and allowing physicians to access relevant patient information in a matter of minutes rather than hours or days.

The company’s software is designed to automatically identify unstructured documents and convert them into structured data, facilitating the streamlining of all critical workflows in the value-driven healthcare journey

To further illustrate the ease and simplicity InDxLogic’s document indexing platform has brought to the healthcare realm, Pendleton cites a recent case study when the company worked with Family Practice Associates (FPA), an independent practice specializing in family medicine and primary care. The lack of office space combined with the limited staffing made the manual document filing process quite difficult, often requiring them to procure additional resources. FPA had to hire three or more staff for their department, and even then, they had to rely on a courier service to transport documents between the new clinic and records office multiple times a day—a process that took almost 48 hours. That was when they decided to install InDxLogic. This not only enabled the FPA to increase the volume of documents, but also to send them digitally and cut down the turnaround time to just around 15 minutes. Owing to such capabilities, today, FPA has successfully automated 60 percent of its patient document filing processes and facilitated a smooth exchange of information between patients and clinicians.

This is but one of the success stories that InDxLogic has penned over the years. Although the company has already established itself as one of the leading automated document indexing software, it won’t stop its pursuit of more ground-breaking innovations to revolutionize healthcare workflow. That being said, the company will also focus on expanding its consumer base and integrating its solution with new EMR platforms. As more and more EMR providers seek to partner with InDxLogic, the company will help them revamp their offerings with new capabilities. “Our aim is to automate document management processes in the healthcare realm so physicians can focus on providing impeccable care to patients,” concludes Pendleton.
