Holistic Scheduling Solutions for Libraries and Academic Institutions

Springshare

Slaven Zivkovic, Founder and CEO
Let’s face it! Universities, educational institutions, and academic and public libraries perceive scheduling as a ‘necessary chore’, rather than something that they look forward to carrying out. And to a great extent, they are not to blame. Many scheduling tools available in the market today are either difficult to use or low on automation, making scheduling complex with rules regarding availability of groups of people or objects, the desirability of certain slots over others, user preferences, etc. Further, admins and end-users have to jump through hoops even to execute simple scheduling. Taking the complexity out of Scheduling is Springshare. Through its LibCal and LibStaffer tools, Springshare is one of the only companies on the market that offers a complete scheduling platform enabling its customers to schedule everything and everyone. While LibCal enables carrying out tasks such as managing library hours, event sign-ups, and equipment booking, LibStaffer facilitates staff and service point scheduling.

Springshare has developed a powerful Scheduling/Calendaring engine that allows for two-way integration with external calendars such as Exchange/Outlook, GCal, and iCal. The system is easy to use for both admins and users, and is incredibly powerful and flexible. In addition, Springshare’s customer service and training teams are always at the disposal of the clients. No wonder Springshare’s LibCal and LibStaffer have emerged as a go-to scheduling solution for many thousands of academic and public libraries and universities, schools, and city departments/agencies. “What makes our scheduling platform so strong and versatile is that we knew this about our customer base and built our tools with integrations at the beginning,” says Slaven Zivkovic, the founder, and CEO of Springshare.

If customers want to route logins through an authenticated user database, Springshare has got them covered. Users can even schedule Zoom virtual appointments via LibCal. The offering has a robust API that clients can utilize for more programmatic integrations as well. “Bottomline, our tools work so well for our clients because we make it easy for them to be integrated into their daily workflows,” states Zivkovic.

Further, Springshare’s clients have a great appeal to the statistics reports in LibCal and LibStaffer. The statistics show how valuable library resources are, whether it’s people, spaces, and equipment. For instance, the statistics can run real-time reports on utilization rates, busy/non-busy periods, which shifts, and service points need more staffing.

Libraries use the equipment booking statistics reports to see which items are most popular so that they can buy (and offer) more of them. When it comes time to allocate the budget dollars for equipment purchases, these equipment booking reports become invaluable.

Our tools work so well for our clients because we make it easy for them to be integrated into their daily workflows

The real versatility and flexibility of LibCal and LibStaffer came to light during the COVID-19 crisis. As libraries and colleges temporarily closed their doors, and all teaching and learning moved online, librarians sprung to action and modified the use of LibCal to schedule curbside pickups of library holds. They’ve moved from scheduling in-person consultations via LibCal widgets to scheduling and conducting consultations online—all due to Springshare’s latest LibCal integration with online meetings platforms. In addition, librarians working from home needed a tool to schedule their virtual reference hours and communicate shifts to staff, ensuring that patrons’ chat/email/SMS questions are answered timely. LibStaffer allowed them to pivot from scheduling physical library desks to scheduling their virtual ones instead. Additionally, the LibStaffer integrated timeclock functionality ensures that staffers are accountable for their scheduled shifts—inside, and out, of the building.

With increased interest from colleges & universities, city/state governments, and school districts to adopt our LibCal and LibStaffer scheduling solutions, Springshare’s near term goal is to expand beyond its core library market. In this post-COVID-19 world, where the concept of scheduling everything takes on even greater importance, the company’s scheduling tools can help libraries protect the safety of patrons by limiting and staggering when patrons pick up their holds when they can enter the library, and more. Another area of focus for Springshare has been ADA compliance. “Since our customers are educational institutions and public agencies, the ADA compliance/full accessibility is a must. We work closely with our customers to ensure that their users who need assistive technologies to schedule things online can do so as easily as anyone else,” mentions Zivkovic. Springshare has consistently won praise from libraries and city/state government agencies for its accessibility-first web applications development approach.
